Commercial Short Courses Terms & Conditions of Business
All our commercial short courses (defined as leisure courses and/or professional development courses) have limited spaces available. Places are offered on a first come, first served basis and cannot be guaranteed until we have received appropriate payment or a Purchase Order number. By booking and paying related fees you are acknowledging and accepting the Terms and Conditions of Business below.
After booking, you will receive a booking confirmation. Any necessary joining instructions will be sent on receipt of full payment or issue of invoice.
Course fees for commercial courses are set individually per course and you will be advised before enrolment. The College holds a strict no refund policy on commercial short courses.
Additional support fees will be charged on top of the standard programme costs if deemed a requirement of the college in order to effectively support you during the course. You will be notified before the start of the course if any fees apply to you.
The full cost fee applies to courses which the College offers outside of its publicly funded learning offer (such as some business-related programmes and qualifications ineligible for public funding). No fee waivers, reductions or refunds will be applicable to courses offered as commercial short courses, including for staff of the College.
At enrolment, you should read the commercial fees statement on the fee payments form to ensure that they are aware of the binding nature of these course fees.
Wherever possible we will include any additional costs such as awarding body registrations, schedules, tests, assessments, and certification. As these may alter, we reserve the right to change the price of courses on offer. Delegates can be substituted at any time, although this may incur an additional registration cost and assessments or tests may be delayed.
Costs for additional consumables, protective clothing, equipment, books and study materials you purchase for these courses are non-refundable. We will indicate on our website if any additional consumables are required or recommended. You will then be sent further information prior to the start of the course. In some instances you may be able to hire equipment for an additional charge.
To secure your place on a course with a full duration of under 10 weeks, payment will be taken at time of booking using our secure online payment system. To book your place and make a payment, add the course you are interested in to your basket and use our secure online payment system to make a payment.
To secure your place on a course with a full duration of over 10 weeks, you must complete our online application form. You will be asked for payment at enrolment.
The College reserve the right to alter, postpone, or cancel dates, whenever the necessity arises. All courses are run subject to sufficient trainee numbers. All details are correct at time of going to print.
The College will not be liable or responsible for cancellations caused by any act or event outside the of the College's reasonable control including without limitation strikes, lock-outs or other industrial action by third parties, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war (whether declared or not) or threat or preparation for war, fire, explosion, storm, flood, earthquake, subsidence, epidemic or other natural disaster or failure of public or private telecommunications network or impossibility of the use of public or private transport.
The College holds a strict no refund policy on Commercial Short Courses. You will be liable for the entire fee, even if you withdraw before the end of the course.
If the College cancels a course and cannot find an alternative, fees paid will be refunded in full. If the course is cancelled mid-way through for reasons outside of college control a partial refund will be given.
Notification of cancellation must be provided at least 10 working days before the start of the course. In this case, you will be entitled to a full refund. If the cancellation is within 10 working days of the start of the course, or in the event of a ‘no-show’, full course fees will be payable.
On Site Courses
Courses booked for delivery on customer sites are subject to the same general terms and conditions as given for course taking place at the College.
It is important to note that the College will expect customers to provide the same general facilities and levels of health and safety awareness and practice, as would be found on a course held at the College. A site inspection may be required. Please be aware that should an instructor feel that the site is inappropriate, unsafe or unsuitable, for whatever reason, they are bound by the constraints of their awarding body’s certification to cancel the course. In this event, no credit or refund of fees will be made.
We do not accept responsibility or liability in respect of loss or damage to any property brought to our premises or any other premises used by us for a course. Appropriate insurance should be arranged by the delegate or his sponsor to cover any eventuality.

City College Norwich (“the College”) processes personal data about its students and is the ‘data controller’ for the purposes of the Data Protection Act 1998.
Purposes for data processing by the College include to:
- support student learning
- monitor and report on student progress
- provide appropriate pastoral care
- protect student welfare
- assess the quality of our services
- administer admissions waiting lists
- carry out research
- comply with the law regarding data sharing
- fulfil legal obligations, including complying with audit obligations.
Sharing of your personal data
We do not share personal information about you with anyone outside the College without permission from you or your parents/carers, unless the law and our policies allow us to do so. Where it is legally required, or necessary for another reason allowed under data protection law, we may share personal information about you with:
Norfolk Educational Services Limited (NES)
The College engages NES to provide some non teaching activity. This includes processing of enquiries, admissions, enrolments and examinations and other activities such as the administration of the College Library service. Statistical information will be shared with the Transforming Education in Norfolk (TEN) Group Board of Governors and Chief Executive Officer.
Transforming Education in Norfolk Group (TEN Group)
The College is part of the Transforming Education in Norfolk Group (TEN Group) which includes Attleborough Academy Norfolk, City College Norwich, Easton College, Fakenham Academy Norfolk, Paston College and Norfolk Educational Services Limited (NES). For the purposes of strategic planning and internal funding arrangements, statistical information will be shared with the TEN Group Board.
Local Authorities, the Department for Education (DfE) and other agencies
As apprenticeships are an employer funded programme, data regarding your attendance, achievement and performance will be shared with your employer.
We engage in partnership working with a number of organisations, as follows:
- A range of providers of counselling and support services
- Norfolk Constabulary under the Safer Schools Partnership
- Youth Offending Team and Youth Inclusion Support Panel
- Multi-Agency Safeguarding Hub (Norfolk Children’s Services, Norfolk Constabulary and NHS) for child protection and safeguarding
Post 16 providers (eg College or Sixth Form College)
Once students have enrolled for their Year 12 programme of study, information will be passed on to their post 16 College or Sixth Form College. This will include information collected as part of the statutory school census return such as, but not limited to, free school meal eligibility, special educational needs, language information, exclusions information and attendance information. Passing on of this information will mean that the college or other provider can ensure that the support students need in order to be successful in their course is put into place.
External Suppliers and Contractors
We use a range of external suppliers and contractors to provide services to you at the College. These include IT software companies that may host personal information to enable staff, students and parents to access services, such as online payments and teaching resources. Written agreements are put in place to ensure adequate controls are in place to protect the data. For the latest information on external suppliers please contact the data protection officer.
Transferring data internationally
Where we share data with an organisation that is based outside the European Economic Area, we will protect your data by following data protection law.
CCTV is used for the safety and security of students, staff and visitors and for the prevention and investigation of crime.
Your rights under the General Data Protection Regulation & Data Protection Act 2018
You can access your personal data held by the College by sending a written request to the Information Compliance Team at the College (see contact information below).
If you make a subject access request, and if the College holds information about you we will:
- Give you a description of it
- Tell you why we are holding and processing it, and how long we will keep it for
- Explain where we got it from
- Tell you who it has been, or will be, shared with
- Let you know whether any automated decision-making is being applied to the data, and any consequences of this
- Give you a copy of the information in an intelligible form
Individuals also have the right for their personal information to be transmitted electronically to another organisation in certain circumstances
You may ask the College to correct or remove information which is inaccurate.
Under data protection law, individuals have certain rights regarding how their personal data is used and kept safe, including the right to:
- Object to the use of personal data if it would cause, or is causing, damage or distress
- Prevent it being used to send direct marketing
- Object to decisions being taken by automated means (by a computer or machine, rather than by a person)
- In certain circumstances, have inaccurate personal data corrected, deleted or destroyed, or restrict processing
- Claim compensation for damages caused by a breach of the data protection regulations
